A robust 4-layer system built for reliability.

Looking at your project scope, we evaluated Option A (Spotify/SoundCloud) and Option B (Self-Hosted). We strongly recommend Option B. SoundCloud's API has become highly restricted for programmatic playlist management. A self-hosted cloud VPS solution provides total control, circumvents Airtable storage limits, and perfectly sets up the future "Music Building Radio."

Layer 1

Submission & Legal Intake: Airtable

Tenants use an Airtable form linked to your existing base. We utilize direct file uploads to bypass streaming platform link issues. The form mandates the required 100% composition/master rights certification and grants the non-exclusive on-premises license prior to submission.

Layer 2

Review & Approval: Airtable Mobile

The only manual step. The Building Manager receives an email/SMS notification, clicks the link, and updates the Airtable status to "Approved" or "Rejected" in under 10 seconds from any mobile device.

Layer 3

Automation & Streaming: n8n + AzuraCast VPS

n8n watches Airtable. Upon "Approval," it securely transfers the audio file from Airtable to a self-hosted AzuraCast instance running on a private cloud VPS, deletes the heavy file from Airtable to save plan limits, and triggers the artist confirmation email.

Entryway Hardware: Sonos Amp + JBL Speakers

The entryway plays the continuous internet radio stream broadcasted by your AzuraCast server. A Sonos Amp drives passive JBL Control 25-1L speakers, providing enterprise-grade reliability, easy remote volume control via TuneIn, and automatic network reconnection.

We know getting the legal framework right is critical, not just a nice-to-have. The automation is built so that a track physically cannot enter the workflow without an auditable consent trail.

*Inputs generate a timestamped record tied to the tenant's profile in Airtable, ready for review by your counsel.

Ongoing Management
Frictionless Takedowns

If a tenant departs or a dispute arises, the Building Manager simply changes the Airtable status to "Archived." Our n8n automation immediately fires a webhook to the AzuraCast API, stripping the track from the active rotation without requiring any IT support tickets.

API Restrictions
SoundCloud vs VPS

SoundCloud's programmatic playlist API is deprecated for most accounts. By selecting Option B (AzuraCast), we eliminate reliance on third-party consumer streaming APIs.

Storage Costs
Airtable Limits

Direct uploads quickly eat up Airtable storage limits. Our n8n script transfers the MP3 to the cloud server and then clears the Airtable attachment field, keeping your database light.

The Sonos Amp will reside in the lobby IDF closet via hardwired Ethernet. Jovany will run exposed white speaker cable and mount the 2-speaker JBL array directly to the lobby masonry.

Element Zero fully provisions, hosts, and manages the cloud infrastructure (n8n and AzuraCast) as part of our monthly support agreement, requiring zero IT overhead from your team.

Implementation Phase
$4,800 Fixed Fee

Covers comprehensive Airtable design, n8n workflow construction, AzuraCast cloud provisioning, Sonos commissioning, launch documentation, and full system testing.

Hardware & Materials
Procurement Costs

The confirmed 2-speaker configuration is estimated at $1,430.65. This covers the Sonos Amp, 2x JBL Control 25-1L speakers, and 100ft of white CL2 wire. Note: Assumes standard masonry anchors for mounting.

Platform Support
$100 / month

Covers dedicated cloud hosting costs (AzuraCast & n8n), platform monitoring, automated workflow upkeep, content takedowns, and automated backups of the station configuration and playlists. This will be billed as a simple add-on to your existing Element Zero support agreement.
